The rules, in plain English.
We tried to keep these short. If anything is unclear, ask us.
Effective April 16, 2026. By using mysecretary, you agree to the terms below. If you don’t agree, don’t use the service — no hard feelings.
What mysecretary is
A tool that turns rough meeting notes into properly formatted board minutes. You paste, we format, you download. That’s it.
The minutes we generate are a draft
Everything the generator produces is a draft for you to review before it becomes a legal record. Minutes become official when the board approves them and the secretary signs. That’s you, not us. If a name is spelled wrong, a vote count is off, or a section is missing, it’s the secretary’s responsibility to catch it. Read before you submit.
What we don’t promise
mysecretary formats according to general Robert’s Rules of Order conventions and the well-known statutes of each state (Davis-Stirling for California HOAs, Chapter 718 for Florida condos, and so on). We are not a law firm. We don’t give legal advice. We don’t guarantee the generated minutes satisfy every requirement that applies to your organization, your state, or your specific governing documents.
For anything that matters legally, talk to a lawyer who knows your jurisdiction and your bylaws. We’re a good first draft, not a substitute for counsel.
You own your notes and your minutes
You keep all rights to the content you paste in and the documents we generate from it. We don’t claim ownership, we don’t license it to anyone, and we don’t use it to train any AI. See the privacy policy for what we do and don’t keep.
What we ask from you
- Don’t automate the service or scrape it.
- Don’t use it to generate fake minutes for organizations you don’t serve.
- Don’t paste in other people’s confidential information that you’re not authorized to process.
- Don’t try to break, overload, or reverse-engineer the service.
If we see automated abuse, we’ll block the source. If you’re on a paid plan and you abuse the service, we can terminate the subscription without a refund for the remainder of the term.
Subscriptions and cancellation
Paid plans bill monthly through Stripe. You can cancel any time from your account page; the cancellation takes effect at the end of the billing period. We don’t issue prorated refunds for partial months, but if the first document you generate isn’t board-ready, email us within seven days and we’ll refund the month.
Service availability
We try to keep mysecretary up, but we don’t promise uninterrupted service. If the site is down when you need to file minutes, please plan for that — use a text editor as a backup.
Limitation of liability
To the extent the law allows, our total liability to you for any claim related to mysecretary is capped at the amount you actually paid us in the 12 months before the claim arose. If you’re on the free tier, that amount is zero.
We’re not liable for indirect, consequential, or punitive damages — for example, if a board decision is challenged because a motion was misrecorded, our liability is still capped as above. The fix is to review minutes before submitting them, which is something every secretary already has to do.
Governing law
These terms are governed by the laws of the State of Nevada, USA, without regard to conflict-of-laws principles. Any dispute that can’t be resolved by email is to be handled in the courts of Clark County, Nevada.
Changes
If we change these terms, we’ll update this page and note the new effective date. Material changes for paid subscribers also go out by email.
